Promotions

Promotion campaigns allow you to set up a Buy X (or Spend X) and Get Y, point redemption campaigns, as well as quantity discounts.  There are two (2) types of promotions, Promotion and Quantity Discount.  Promotions are made up of a Qualifier and a Reward.  Promotions can also have Exclusions, excluding certain items.  Again, these promotions are only compatible with OpSuite Point of Sale.

The basic information for setting up a promotion is pretty much the same between the 2 promotion types.  Any differences will be noted below.

  • Name - The name of your promotion.
  • Promotion Type - Type of promotion.
    • Promotion - Buy X, Get Y and Point Redemption
    • Quantity Discount - Buy a specified number of a single item and get a discount
  • Description - A more detailed description of your promotion.
  • Reason Code - Select the reason code associated with the Reason Code Type of Loyalty.  You can customize the name and description of the reason code in the Data Types section of OpSuite.
  • Locations - Select the locations for the promotion to be active at.
  • Set Maximum Redemption per Transaction - This allows you to set the maximum number of times the promotion can be used in a single transaction.
  • Start and End Date - The date and time you want the promotion to run.
    • Day of the week - This allows you to select certain days and times you want the promotion to be active within the start and end dates.  For instance, you want the promotion to be active weekdays after 5:00 pm until the store closes.
  • Apply Discount First - This applies any other discounts, such as a VIP discount, before the promotion will apply.
  • Is Exclusive - This promotion is exclusive and cannot be combined with other campaigns.
  • Must Be Redeemed Later - This setting will be used primarily for coupon rewards, where the coupon must be used on a separate transaction.
  • Additional Discounts Allowed - This setting allows additional discounts to apply to the items.  Once selected, you can choose if you want additional discounts only on the Qualifying Items, Reward Items, or both.
  • Discount Odd Items - For Quantity Discounts that have a gap between the qualifying quantities, this setting allows for the quantities between the 2 qualifying amounts to get the lower discount.

Qualifiers are used to determine if a customer qualifies or can get the reward.  This would be the "Buy X" part of a Buy X, Get Y equation.

Qualifier Types - There are four (4) types of qualifiers.
  • Points - Used in conjunction with a Points Campaign, where a customer can redeem their earned points.
  • Item Quantity - A customer must buy a certain number of items to get the reward. A Department, Category or Item(s) must be selected or ALL items will act as qualifiers.
  • Item Total - A customer must buy a certain dollar amount of select items to get the reward.  A Department, Category or Item(s) must be selected or ALL items will act as qualifiers.
  • Transaction Total - A customer must spend a certain dollar amount in the transaction to get the reward.
  • Coupons - A coupon must be added to the transaction to qualify for the promotion

Description - A brief description of the qualifier.  Example: Buy 4 shirts.

Minimum Quantity - This is the minimum quantity of what must be purchased to activate the qualifier in a transaction to get the reward.

Item Selection - You can select one or more Departments, Categories, Suppliers or Tags as qualifiers.  This will include all items within them (you can add exclusions as well).  You can also select individual items, or import a list of skus to use as qualifiers (import file type must be .csv).

Exclude all SALE items - This will exclude items that are currently "On Sale" within Item Location Details.

Once you have set up your qualifier, click Add Qualifier.

Multiple Qualifiers

You can add more than one (1) qualifier, and select if the 2nd qualifier will be in addition to or instead of.  To do this, create a 2nd qualifier using the same steps as above.  Once your 2nd qualifier has been added, click the "Edit" button next to one of the qualifiers.

Here you can choose if the 2nd qualifier will be in addition to the 1st, or instead of.  Selecting AND will indent the 2nd qualifier, meaning you must have the 1st qualifier AND the 2nd to get the reward.  If you select OR, the 2nd qualifier will remain separate, meaning you can have one or the other to qualify for the reward.

Example of an AND scenario:  Have 200 points AND buy 4 shirts.

Example of an OR scenario:  Have 200 points OR buy 4 shirts.

Rewards

Rewards are what you get after you meet a qualifier.  They are the "Get Y" part of the Buy X, Get Y equation.

Reward Types - There are six (6) types of rewards.

  • Free Item - You will select an item or items that the customer can receive for free upon qualifying.  Use the Add Specific Item(s) button to select individual items.  You can also import a .csv file of skus to add instead of selecting each item individually.
  • Transaction Percent Discount - This gives the customer a percent discount off the entire transaction.
  • Transaction Fixed Discount - This gives the customer a fixed dollar discount off the entire transaction.
  • Fixed Discount on Item(s) - This gives the customer a fixed dollar discount off of selected item(s), departments and/or categories.  You must select a department, category or item(s), or the discount will apply to ALL items purchased.
  • Percent Discount on Item(s) - This gives the customer a percent discount off of selected item(s), departments and/or categories.  You must select a department, category or item(s), or the discount will apply to ALL items purchased.
  • Fixed Price on Item(s) - This gives the customer a fixed price (not a discount) on specific items.  You must select a department, category or item(s), or the discount will apply to ALL items purchased.
  • Coupon - This allows for a coupon to be printed at the end of the transaction on the receipt, for future use.

Description - Brief description of the reward.

Discount/New Price - If the Reward Type is a Fixed or Percent discount, or a fixed price, you will enter the discount amount or new price.

Amount - This is the amount of items that will get the reward.

Exclude all SALE items - This will exclude items that are currently "On Sale" within Item Location Details.

Item Selection - You can select one or more Departments, Categories, Suppliers or Tags as rewards.  This will include all items within them (you can add exclusions as well).  You can also select individual items, or import a list of skus to use as rewards (import file type must be .csv).

This setting is used to apply the discount to items in the qualifier.  For instance, my qualifier is Buy 4 shirts, get 1 at 50% off.  By selecting this box, you don't have to re-select the items, it will use the same items in your qualifier.  If selected, you may also select to apply the reward to the lowest priced qualifying item.

Once you have set up your reward, hit Add Reward.

Multiple Rewards

You can add more than one (1) reward, and select if the 2nd reward will be in addition to or instead of.  To do this, create a 2nd reward using the same steps as above.  Once your 2nd reward has been added, click the "Edit" button next to one of the rewards.

Here you can choose if the 2nd reward will be in addition to the 1st, or instead of.  Selecting AND will indent the 2nd reward, meaning you get the 1st reward AND the 2nd reward.  If you select OR, the 2nd reward will remain separate, meaning you will get one or the other reward.

Example of an AND reward scenario:  Get 10% off shirts AND get a free OpSuite Flash Drive.

Example of an OR reward scenario:  Get 10% off shirts OR get a free OpSuite Flash Drive.

Exclusions

If your qualifier or reward is made up of an entire department and/or category, you can choose to exclude certain items from the promotion.  For instance, you want all of your electronic items to qualify, EXCEPT the XBOX One.  And your discount is for all electronic items EXCEPT the Pro Player Pack and Wireless Headphones.  You can add these items to a list of exclusions for both qualifiers and rewards.  To add an exclusion, click the "Add Qualifier/Reward Exclusion" button in the top left corner of the table under the Exclusions tab.  You can select individual items or you can import a list of exclusions (max of 2,000) by using the Import Items button, or selecting one or more Suppliers or Tags.  Each exclusion can be individually removed from the list by clicking the red X, or you can clear the entire list by clicking the "Clear Qualifier/Reward Exclusions" button.

Quantity Discounts

Quantity Discounts will only apply to purchases of the exact same item.  You create Tier levels for the quantities and define the discount type for each tier.

The Discount Types for Quantity discounts are:

  • Fixed Discount - This gives a dollar amount discount to each item.
    • Example:  Buy 5, get $3.50 off each.
  • Percent Discount - This gives a percent discount to each item.
    • Example: Buy 10, get 20% each.
  • Fixed Price - This sets a price for each item.
    • Example: Buy 3, get them for $1.50 each.
  • Fixed Discount Total - This gives a cumulative dollar amount discount on all of the items within that tier.
    • Example:  Buy 4, get $2.00 off the total of all 4 items.

To add multiple tiers, click Add Tier for each Quantity level you want.  Once you have set all of your Tiers and Discount Types, click SAVE.
